Overview
At Organix Limited, we are committed to building strong, transparent, and mutually beneficial relationships with our vendors. As part of this commitment, we have developed a clear and fair Stock Return Policy to guide the process of returning goods supplied by us to stores, distributors, and outlets across Kenya.
Please read the policy carefully to understand the terms and conditions under which stock returns are accepted.
1. Eligibility for Stock Return
- Stock returns will be accepted only if the products have at least 3 months of shelf life remaining at the time of the return request.
- Products must be in saleable condition: sealed, unused, undamaged, and in their original packaging. The integrity of the packaging must be intact.
- Returns will only be processed if the product was not sold under a special promotional or non-standard discount.
- Samples and promotional units are not eligible for return.
- Bulk products such as “Asilee” are excluded from return due to their nature and logistical complexity.
2. Return Request Process
- Returns received after the 14-day window will be rejected and returned to sender at the sender’s expense. We will not be liable for any costs related to delayed or unapproved returns (including freight, insurance, or storage).
- A stock return must be initiated via email to Organix Limited at sales@organix-agro.com, clearly stating:
- The reason for return
- Product name and batch number
- Expiry date
- Order number/invoice/delivery note reference
- Quantity being returned
- The return request must be validated and approved in writing by Organix Limited before any stock is shipped back to us.
- Once the return has been approved, the vendor has 14 calendar days to deliver the product to Organix Limited. The return will only be deemed complete when Organix Limited signs for receipt of the goods.
- Once your return is received and inspected, we will send you an email to notify you that we have received your returned item. We will also notify you of the approval or rejection of your refund.
- If you are approved, then your refund will be processed, and a credit will automatically be applied to your credit card or original method of payment, within a certain amount of days.
3. Replacement and Restocking
- Approved returns are eligible for a one-time replacement only per consignment.
- Replacement products will be shipped:
– Subject to availability
– To the originating store or distributor listed in the return request
– With applicable charges billed to the respective account - Out-of-stock items will be shipped when restocked, and vendors will be notified of any delays.
- Returns cannot be used as a mechanism for regular inventory rotation or stock balancing.
4. Limitations and Caps
- Each consignment is only eligible for one stock return cycle.
- Organix Limited reserves the right to limit the number of returns processed per quarter or per vendor if misuse is detected or if the volume of returns exceeds a manageable threshold.
5. Rejected Returns
- Products that are damaged, expired, or do not meet the packaging and quality requirements will not be accepted.
- Rejected returns will be shipped back to the vendor at their own cost, and no credit will be issued.
6. Communication & Amendments
- Organix Limited may revise or amend this Stock Return Policy at any time. All changes will be communicated to vendors in writing and will take effect from the specified date.
- It is the responsibility of the vendor to review updates and ensure ongoing compliance.
7. Additional Guidelines for Vendors
- We encourage vendors to regularly monitor stock levels and expiry dates to avoid last-minute returns.
- Regular stock rotation and proper in-store handling reduce the need for returns and ensure product quality for end users.
