Job Description: Supply Chain & Compliance Lead

About the Job
We are looking for a diligent and proactive individual to fill the position. This role is critical to ensuring seamless procurement processes (both local and international), effective inventory control, timely dispatch of goods, and adherence to regulatory and statutory requirements including PCPB, KEBS, and KRA obligations.
Key Responsibilities
1. Procurement Management
- Raise and track Local Purchase Orders (LPOs)
- Manage supplier sourcing, evaluation, and relationships
- Align procurement with budget and operational needs
2. Importation & Clearing
- Prepare and submit all import documents (e.g., KEBS, KRA)
- Liaise with clearing agents and logistics providers
- Track and report on all incoming shipments
- Arrange for import insurance coverage and ensure compliance with policy requirements
3. Store & Inventory Management
- Oversee stock takes, reconciliations, and stock adjustments
- Flag and act on slow-moving stock
- Monitor reorder levels and ensure product availability
4. Dispatch & Distribution
- Coordinate goods dispatch and generate delivery notes
- Maintain dispatch logs and oversee delivery agents (Riders and Couriers)
- Ensure customer documentation is returned and filed.
5. Compliance & Licensing
- Renew and track PCPB product registrations
- Ensure compliance with KEBS, KRA, and other regulators
- Maintain a compliance tracker and alert system
6. SOPs & Documentation
- Develop/update operational SOPs (as and when required) for the department
- Maintain secure storage of all files on the shared server
- Support continuity through organized records and logs
7. Maintenance
- Oversee routine and emergency vehicle and machinery maintenance and repairs
- Maintain service logs and track scheduled maintenance
- Coordinate with approved garages or mechanics for timely servicing
8. Production Support
- Oversee product repacking operations to ensure proper labelling and packaging
- Ensure compliance with safety and quality standards during repacking
- Maintain inventory of repacking materials and monitor usage
Qualifications & Skills
- Bachelor’s degree or Diploma in Procurement, Supply Chain, or related field
- Knowledge of accounting is an added advantage
- Minimum 2-3 years’ experience in a similar role
- Strong skills in ERP systems
- Excellent negotiation, organizational, and compliance management skills
- Ability to follow the company’s systems and policies
